Both versions contain the same one-page intake form. Use the PDF when you want something ready to print, or the Word file when you want to add your business details or change the fields.

Quick use: complete the form when a customer books, when you arrive for the job, or before handing the job over to another member of your team. It is designed to keep the basic job information in one place without turning intake into a long questionnaire.

What is included in the client intake form?

The template focuses on the information an independent detailer is likely to need before starting work. It is deliberately shorter than a full vehicle inspection form.

How to use a detailing client intake form

  1. Collect the customer’s contact details. Record enough information to confirm the appointment and follow up about the job.
  2. Identify the vehicle. Year, make, model, color and license plate help prevent confusion when you are managing several customers or vehicles.
  3. Record the requested service. Mark the main service and write down relevant add-ons or customer requests.
  4. Confirm the job setup. For mobile work, note the service location and whether water and power are available.
  5. Add useful notes before work begins. Access instructions, customer priorities and other practical information are easier to manage when they are recorded before the job starts.

Client intake form vs. vehicle inspection form

These documents solve different parts of the workflow. The intake form records who the customer is, what vehicle you are working on and what they are asking you to do. A vehicle inspection form is used to document the condition of the vehicle before work begins.

Client intake form Vehicle inspection
Customer contact details Existing scratches, dents or damage
Vehicle identification Exterior and interior condition
Requested service and add-ons Pre-service photo checklist
Appointment and access information Condition-specific notes

When is this template most useful?

This form is a practical fit for mobile detailers, solo operators and small detailing shops that are not yet using a full CRM or booking platform. It can also work as a simple backup intake sheet when your normal software is unavailable or when you want a printed job record.

If your business grows to the point where you are repeatedly copying customer data between forms, calendars, estimates and invoices, that is usually a sign that dedicated business software may be more efficient than adding more spreadsheets and documents.

Frequently asked questions

Is the mobile detailing client intake form free?

Yes. The printable PDF and editable Word version are both free to download.

Can I add my own business name or logo?

Yes. The DOCX version is editable in Microsoft Word and compatible word-processing apps, so you can add your business details and adjust the form to your workflow.

Should I use this instead of a vehicle inspection form?

No. The intake form is mainly for customer, vehicle, service and appointment details. If you need to document pre-existing vehicle condition, use an inspection form as well or use the combined Intake & Inspection Builder.

Can I use the form for a detailing shop instead of a mobile business?

Yes. Most fields apply to both mobile and shop-based detailing businesses. You can remove mobile-specific fields such as water or power availability from the editable Word version if you do not need them.
