How to use a detailing work order

  1. Start with the correct customer and vehicle. Connect the work order with the intake and inspection information for the same job.
  2. List the work that was requested or approved. Record the main package, add-ons and any special tasks so the job scope is easy to understand.
  3. Record the quoted pricing. Use the service table for individual items and note the quoted total, deposit and current payment status.
  4. Add practical job notes. Write down customer priorities, access instructions, problem areas or other information the detailer completing the job should know.
  5. Update the completion section. Mark the operational checks that actually apply, record who completed the job and note the final status.

Work order vs. intake form vs. inspection form

These three documents belong to different parts of the same workflow. The intake form collects the basic job information, the inspection form records visible vehicle condition, and the work order organizes the services and work to be completed.

Document Main purpose
Client intake form Customer, vehicle, appointment and requested-service information.
Vehicle inspection form Visible exterior/interior condition and pre-service photo record.
Work order Services, add-ons, pricing, job notes and completion status.

Frequently asked questions

Is the mobile detailing work order template free?

Yes. The printable PDF and editable Word version are both free to download.

Can I add my own detailing business name and logo?

Yes. The DOCX version is editable, so you can replace the DetailerOffice branding, add your business information and adapt the service fields to your workflow.

Is a work order the same as an invoice?

No. A work order is primarily an operational job record showing what work is expected and its status. An invoice is the billing document used to request or record payment. A small business may reuse some of the same pricing information in both documents.

Does this template replace a service contract or liability waiver?

No. This work order is an operational template, not a contract, waiver or legal document. If your business needs legal terms, customer authorization language or liability provisions, use documents appropriate to your location and circumstances.

Can this work order be used by a shop-based detailing business?

Yes. The core fields work for both mobile and shop-based detailers. You can edit or remove fields such as service location if they are not relevant to your operation.
